About the Role:

CH2M - Logistics Manager & Information Coordinator (Oil & Gas) - Al Khobar, KSA CH2M is looking for a Logistics Manager & Information Management Coordinator to join our client’s onshore capital projects in Saudi Arabia. The successful candidate will work as an integrated member of the client’s Project Management Team.

This position is responsible for effectively and proactively coordinating mobilization of staff within all applicable regulations, and ensures arrival at the destination in a timely manner. The incumbent has good supervision skills, working knowledge of local practices and laws, and a strong working knowledge of international mobilizations and techniques of ensuring efficient and timely task completion, project delivery processes, and stakeholder relationship expectations.
Minimum Qualifications
  • Plans, coordinates and executes IT Telecommunications, Procurement support, legal and Financials through relevant stakeholders.
  • Coordinates staff mobilizations and demobilizations through relevant stakeholders.
  • Coordinates personnel identification and vehicle passes for Client and in respective GES+ offices.
  • Coordinates availability of vehicles for program contracts with suppliers, approvals, delivery, insurance, registration, maintenance, documentation, allocation logs, usage and servicing.
  • Coordinates and assignment of housing to all staff. Looks at alternative options and availability within the security guidelines. Secures approvals and maintain housing tracker. Develops strong relations with all approved compounds management.
  • General office tasks: Provides all administrative office support to the program Management Services team.
  • Coordinates all employee’s communication through PM/PD.
  • Maintains vacation and leave tracker. Coordinating with KSA PRO to insure the staff have relevant exit visas.
  • Coordinates and processes Client PAFs (Prior Approval forms) for all staff and packages as per guidelines.
  • Coordinates business travel and visitor processing temporary badging, accommodation, and transportation.
  • Provides client and management reports: headcount, Saudization, visas and iqama tracking.
  • Acts as Point of contact for all outgoing and incoming mail.
  • Identifies and coordinates possible options for office space in coordination with security.
  • Provides orientation to new staff, point of contact for concerns, issues and employee requests.
  • Coordinates through Riyadh HR Delivery the following: Yearly merit review process, Employee Relations, Compensation analysis, Insurance Benefits, Performance Management, Training, Global Mobility coordination for seconded expats, general counseling and guidance to both management and employees.
  • Coordinates through Riyadh GRO the following: Business visas, iqama processing, exit/re-entry visas, all travel for processing.
  • Coordinates with Recruitment for open positions, interviewing, processing hires, both regional hires and expats.
  • Ensures process clarity and candidate submission to follow specifications.
  • Security POC, maintain Warden lists, maintain organization contact lists, Travel logs, Sat Phones and provide communications to staff.
  • Emergency contact person for all staff.
    Preferred Qualifications
  • Degree (BA or BS) in Business, Law, Engineering, Supply Management, or other applicable field preferred.
  • Experience in lieu of a degree is acceptable.
  • Minimum of 8 years of international experience in a logistics coordination role.
  • Minimum of 1-3 years supervision experience.
  • Held overseas assignments in running a full scale team mobilization
