Requires both a comprehensive knowledge of word processing software applications and office practices, and a high degree of skills in applying software functions to prepare complex and detailed documents. Uses various computer systems to include word processing, electronic mail, graphics, spreadsheet, and database management. Work requires some familiarity with technical terminology or jargon, and multimedia formats. Work also requires ability to convert photo and graphic file formats and insert web links, photographs, graphics, and video files. Processes complex and lengthy technical reports to include tables, graphs, charts, logs or multiple columns. Compiles data and information requiring research into sources such as reports, publications, databases, regulations, charts and records. Drafts basic portions of plans, forms and procedures, memos and related documents. Organizes, summarizes, and/or consolidates data in various formats including tables, graphs or charts for detailed examination. Receives calls and greets visitors. Personally responds to routine and non-technical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information. Maintains files using the MARKS filing system. Arranges for meetings or conferences including selecting mutually satisfactory times, reserving meeting rooms and notifying participants of the meetings. Arranges travel for staff including scheduling transportation, making hotel reservations, keeping in touch with staff en route, and preparing travel vouchers. Reviews directives and instructional material pertaining to administrative practices and clerical procedures in order to be aware of new, revised, or amended procedures for such matters as preparation and processing of correspondence, reports and forms, filing, mail, travel vouchers, and security. Exercises responsibility for proper spelling, grammar, format, and arrangement of typed material. Safeguards passwords and access to office computer files and programs. May assist lower-graded word processors. Word Processors in Tech Reports must have the ability to insert web links, photographs, graphics and video files into documents. Additionally, may drive an automobile or light truck to pick up, deliver official government messages, documents, packages, boxes and mail to various business concerns and government agencies, may transport office personnel and official ATC visitors, and perform miscellaneous duties such as receiving, screening, storing, sorting, transporting and distributing a wide variety of official equipment, material, supplies. Carries and moves large boxes, crates and packages. May obtain receipts for articles delivered and keep a log of items received and delivered, and delivers items to offices, shops and ranges. If supporting ATC's logistics program, may perform duties of a motor vehicle dispatcher, order clerk, and/or maintenance scheduler and may prepare and track requisitions for supplies, equipment, repairs and forms. Assists in reviewing administrative documents and files ensuring documents are completed in accordance with policy. Enters required data into systems to generate various automated printouts to track equipment, locations, hand-receipts, turns-in of equipment, and procurement of equipment. Receives, screens, transports and distributes a wide variety of equipment, material, supplies and related documents to the appropriate personnel.
(1) Must have 3 years experience on a computer using Microsoft Office, and for Word Processors in Tech Reports, must possess training in Advanced Topics in Word and Adobe Acrobat or capable of obtaining both within 6 months of employment.
(2) Must be able to type at least 45 words per minute on a typing test.
Essential Functions Form:
UNUSUAL OR SPECIAL PHYSICAL REQUIREMENTS OF POSITION
Must be able to type at a rate of at least 40 words per minute. May require sitting at a computer for extended periods of time (up to 100%). The ability to bend/stoop, crouch, kneel, reach above shoulder level is required (up to 25%).
DESCRIPTION OF WORK ENVIRONMENT
Work is inside in an office setting. Requires a high degree of teamwork and cooperation with all members of office staff. Will maintain a close and highly responsive relationship to the day-to-day activities of the needs of the customer and other office staff. May often work fairly independently, receiving a minimum of detailed supervision and guidance.
EQUIPMENT AND MACHINES INVOLVED IN WORK TASKS
Work requires regular use of typical office equipment such as a personal computer (up to 80%), copiers (up to 20%) and fax machines (up to 20%).
CRITICALITY OF ATTENDANCE
Attendance is critical at all times during normal duty hours. Work outside of normal duty hours, including weekends and holidays, may be required with as little as one-hour advance notice.
OTHER ESSENTIAL FUNCTIONS
Must be able to communicate effectively, both verbally and in writing. Must be able to obtain an interim secret security clearance in order to gain access to required areas, networks and systems within thirty (30) days of date of your offer letter. Must further be able to obtain and retain a secret security clearance. Must be able to provide proof of U.S. citizenship. Must be able to obtain and retain unescorted access to work areas. Must be able to wear personal protective equipment when required. Must have a valid driver's license and personal transportation for the purpose of moving around the proving ground to accomplish job functions and in order to operate a rental vehicle if and when travel is required. Must be able to obtain and maintain a military driver's license within 30 days of employment.
